2025 – 2026 BOARD POSITIONS
ROLES & RESPONSIBILITIES
PRESIDENT-ELECT
The President-Elect stands ready to fill-in for the President in their absence. They assist the President in overseeing the board and serves as an additional resource for all positions and committees. This position is assigned to be the pre-determined President in the next fiscal term.
SECRETARY – 2-YEAR TERM
The Secretary serves as the recorder for the chapter and ensures minutes are taken, recorded, and distributed. The Treasurer report, membership report, and agendas must be distributed in a timely manner. The Secretary is responsible for the chapter’s bylaws and serves on the Executive Committee of the chapter. The Secretary is also responsible for assisting with record transition from year to year to ensure chapter archives are maintained.
TREASURER – 2-YEAR TERM
The Treasurer is responsible for managing all financial tasks for the SMPS Tampa Bay Chapter. Duties include overseeing the chapter’s bank accounts, serving as the primary signatory on accounts and checks, and maintaining accurate accounting records. The Treasurer also ensures the timely and accurate filing of tax returns and annual financial reports. While a general understanding of accounting principles is preferred, it is not required and training will be provided.
Eligibility: Must have served on the board for at least one year to apply.
DIRECTOR OF PROGRAMS
The Director of Programs is responsible for all programs scheduled during the fiscal term and will provide general oversight of program planning and execution throughout the year. They are tasked with developing the annual schedule and recruiting volunteer program coordinators for specific programs.
- EDUCATION CHAIR
The Education Chair is responsible for planning and organizing educational events for the chapter. The goal of the Education/Programs Committee is to increase professional knowledge and skills of members. The Education Chair will manage the planning of these education programs throughout the year and attend all as well.
- PROGRAM/EVENT COORDINATORS (MULTIPLE POSITIONS)
Program/Event Coordinators assist with the planning and execution of a specific program(s). This person is encouraged to attend the Annual Planning Session to assist with the planning of our annual agenda and select a specific program(s) they would like to help coordinate.
- C.P.S.M. CHAIR
The CPSM Chair will plan and execute our strategy for the outreach and assistance to members interested in studying for and acquiring their CPSM Certification. This program will include a recruitment event to educate our members on the program and benefit of certification and will continue throughout the year with the organization and execution of study group sessions, and test planning.
- SPONSORSHIP CHAIR
The Sponsorship Chair is responsible for the retention of current and outreach to potential annual and program sponsors throughout the calendar year. This person will inform the Treasurer of any current and new sponsors invoicing. Following these commitments, this person will work with the Directors of Programs, Membership, and Communications to ensure all chapter obligations are upheld for the sponsorship benefits promised. This person will actively continue their recruitment throughout the year for specific programs, assistance with sponsorship recruitment for special events, etc. The goal of the Sponsorship Committee is to raise funds necessary to pay for the events and programs of the chapter.
- AWARDS CHAIR
Work with Directors of Programs, Membership, and Communications, President, President-Elect, and Past-President Advisors to develop an annual awards program, to be launched sometime during the last two months of the 2025-2026 board year.
DIRECTOR OF MEMBERSHIP
The Director of Membership is charged with maintaining a connection with our membership body, they serve as the SMPS member contact on all issues related to membership, and leads efforts to help grow the chapter roster, as well as engagement. This person will report membership statistics to the chapter board on a monthly basis. The goal of the Membership Committee is to grow and maintain membership through recruitment and retention efforts. This committee also strives to improve diversity and connect members with volunteer opportunities.
- SOCIAL CHAIR
Collaborate with Director of Membership to plan social/networking events, such as member appreciation events, breakfast/luncheon events, Coffee & Connections, and after-work networking events.
- MEMBER ALLY / LIASONS
Take the pulse of our chapter and be the voice of our members! Assist the Director of Membership by welcoming new members at events or through direct one-on-one communications. Help retain current members by discovering and reporting on what’s working, what’s not, and what our members need to grow their skills and careers. Your findings will prove critical to our chapter’s Membership and Programs committee during our monthly board meetings.
- STRATEGIC ALLIANCE CHAIR (NEW ROLE)
Collaborate with President, President-Elect, Director of Programs, and Director of Membership, on strategic initiatives designed to expand our chapter’s membership and influence. Establish and foster relationships with other industry organizations within our chapter’s geographic reach. Discover and promote ways for our chapter to provide education to the companies and members of those organizations that employ internal marketing, business development, or seller/doer staff. Conduct deliberate outreach and discover opportunities to collaborate on new industry-specific marquee events (Education, Water-wastewater, Retail, Commercial Real Estate, Entertainment, etc.).
- MENTORSHIP CHAIR
The Mentorship Chair will work with the Director of Membership in the continued development and implementation of the Tandem mentorship program as a benefit to our members.
- CAREER ALLIANCE PROGRAM (CAP) CHAIR
The CAP Chair will continuously monitor and update all “job bank postings” on our chapter website throughout the year. A log will be maintained, and monthly contact made, to ensure only open and active positions are listed. This person will also collect any interested resumes/job seeker contact information to continuously update of new openings advertised through the chapter.
- DIVERSITY, EQUITY, & INCLUSION (DEI) CHAIR
The DEI Chair will explore and promote opportunities to engage the broadest possible range of existing and new members of all colors, races, ages, sexualities, orientations, religious, etc. They will serve as oversight to ensure that all SMPS Tampa Bay activities and communication are inclusive, respectful, and encourage DEI-related improvement wherever applicable to Board operations.
DIRECTOR OF COMMUNICATIONS
The Director of Communications will manage the regular maintenance of our chapter website, as well as our electronic member and prospect mailing list, create and email chapter email notifications, and the development and creation of a quarterly chapter newsletter. This person will also assist the chapter with public relations efforts.
- GRAPHICS (3-4 POSITIONS)
Work with the Director of Communications and other committee members to design and create the graphics needed for programs, member events, website, email and social media promotions, promotional boards, etc.
- NEWSLETTER
Cultivate and publish the chapter’s monthly e-Newsletter email via StarChapter, promoting content published on chapter website. (Experience with HTML-based email marketing platforms like Mailchimp, Hubspot, preferred but not required).
- EMAIL
Assist the Director of Communications with issuing event or announcement-related emails via StarChapter from content available on chapter website event pages. (Experience with HTML-based
email marketing platforms like Mailchimp, Hubspot, preferred but not required).
- WEBSITE
Work with the Director of Communications with regular chapter website maintenance via StarChapter. This could include general page content updates, annual board contact updates, uploading blog content and event photos, etc. (Experience with organization-based or other CMS platforms like Wordpress preferred but not required).
- SOCIAL MEDIA COORDINATORS (1-2 committee members)
Assist the Director of Communications in communication efforts for the chapter. Maintain chapter Facebook, Twitter, and LinkedIn pages including updating content, gathering, and uploading photographs. Engage members to use chapter social media outlets. Funnel information to and from chapter website.
- MEMBER SPOTLIGHT
Assist the Director of Communications in promoting our members and sponsors. Interview members and write up a brief spotlight, facilitating publication of “Membership Spotlights,” “Member Promotions,” “Member-to-Member Project Wins,” “Sponsor Spotlight,” “Members/Sponsors in the News,” with the Director of Communications and Social Media Coordinators.
S.E.R.C COMMITTEE LIAISON – 3-YEAR TERM
Represents Tampa Bay Chapter on the S.E.R.C. committee. Level of involvement is up to individual; at the minimum this person will attend all monthly steering/planning committee meetings and provide updates to the chapter’s board of directors.
BOARD OF DIRECTORS ADVISORS
This role is for senior chapter members, most especially Past Presidents and tenured professionals. Board of Directors Advisors serve(s) as a resource for the executive committee, as well as for all positions and committees.
